FAQ's On Digital Signature Certificate

A digital signature is a mathematical technique used to validate the authenticity of a message, software or digital document. Digital signatures are easily transferable and cannot be imitated by someone else. It is a specific type of electronic signature that a signer can use to authenticate his identity using a certificate-based digital ID.

A Digital Signature Certificate (DSC) is a secure digital key that is issued by the certifying authorities for the purpose of validating and certifying the identity of the person holding this digital signature certificate. Digital Signatures make use of the public key encryptions to create the digital signatures.

The DSC contains information about the user’s name, pin code, country, email address, date of issuance of certificate and name of the certifying authority.

Electronic documents, such as e-forms and PDF’s must be signed digitally using a Digital Signature Certificate, just as physical documents must be signed manually.

According to the rules of the IT Act of 2000, digital signatures are legally accepted in a court of law.

For e-Tendering, e-Procurement, and Trademark/Patent filing, a Class 3 Company / Organization User certificate is necessary. The highest level of Digital Signature Certificate is Class 3. It comes with a one-year or two-year validity period. The user must renew class 3 digital signature certificates when the validity term has expired.

For Income Tax, ROC, and MCA filings, a Class 2 Digital Signature Certificate is needed. Class 2 DSC can be issued for 1 year or 2 years.   Users need to renew the DSC after the validity has expired. Class 2 Digital Signature certificate can be issued to an Individual / Organization.

For the DGFT website to communicate, a Class 3 DGFT Digital Signature Certificate is required. The DGFT Digital Signature is valid for 1 or 2 years.

Authenticity of documents: Receiver of digitally signed documents can be confident in the signer’s authenticity. They can act based on such documents without fear of the documents being faked.

Data integrity: Digitally signed documents cannot be changed or updated after they are signed, ensuring that the information is safe and secure.

Reduced cost and time: Instead of physically signing hard copies and scanning them to send through email, you can digitally sign PDF files and send them considerably faster. This saves time and money by eliminating the need to print and scan documents.

The cost of obtaining a digital signature certificate may vary due to the several entities that issue DSCs and their fees.

In most cases, DSCs can be issued in 1 or 2 working days. However, the issuing of a DSC is generally dependent on the applicant’s confirmation.
